General Information on Data Processing

We process personal data in accordance with the GDPR and the German Federal Data Protection Act (BDSG), insofar as this is necessary to provide this website, handle inquiries, and conduct and manage the Race Across Germany. Legal bases are in particular Art. 6(1)(b) GDPR for pre-contractual measures and contract performance, Art. 6(1)(a) GDPR for processing based on your consent, and Art. 6(1)(f) GDPR for legitimate interests such as the secure, stable, and efficient provision of the website.

Hosting and TLS Encryption

This website is operated by a hosting provider located in Germany. A data processing agreement pursuant to Art. 28 GDPR is in place with the provider. Data transfer is encrypted via TLS/SSL. You can recognize this by the address line of your browser and the lock symbol.

Server Log Files

When accessing our pages, information is automatically collected in so-called server log files. This includes IP address, date and time of access, time zone difference, request line, HTTP status code, data volume transferred, referrer, browser and operating system information. Processing takes place for technical provision, security, and error analysis based on Art. 6(1)(f) GDPR. Log data is generally deleted after 7 days; longer retention may be necessary in individual cases to investigate security incidents.

Contact Form

If you use our contact form, we process the data you provide such as first name, last name, email, phone (optional), event details, and your message. Processing is carried out to respond to your inquiry and to prepare a possible participation in the Race Across Germany based on Art. 6(1)(b) GDPR and, if applicable, on your consent according to Art. 6(1)(a) GDPR. You may revoke your consent at any time with effect for the future. Data will be deleted once your inquiry has been fully processed and no statutory retention obligations apply.

Registration Form and Participation

As part of registration, we process the data required for the event, including contact and address details, communication data, information on the route, category and start date, year of birth, nationality, as well as optional references, club affiliation, and possibly website. Processing is carried out to decide on participation, to organize the event, to communicate with you, to collect the participation fee, and to manage the event on-site, based on Art. 6(1)(b) GDPR and to comply with legal obligations pursuant to Art. 6(1)(c) GDPR. Where you provide consent, we also process data for timekeeping, rankings, result lists, and the publication of photos and videos taken in connection with the event (on our website and on social media), as well as for informational purposes via email by ULTRAGRÜN GmbH. The legal basis is your consent under Art. 6(1)(a) GDPR, which you may withdraw at any time.

Live Ticker

Our website provides a live ticker where users can post their own contributions. The data you provide (e.g., name, message, optionally email) as well as technical data such as IP address and timestamp are processed. Processing takes place based on Art. 6(1)(b) GDPR (usage relationship) and Art. 6(1)(f) GDPR (ensuring functionality and preventing abuse). Your contributions are publicly visible and remain stored until you request deletion or until technical reasons require deletion.

hCaptcha in Forms

To protect our forms from misuse and spam, we use the hCaptcha service from Intuition Machines, Inc., USA. hCaptcha analyzes user behavior and evaluates whether entries are made by a human. Technical data such as IP address, browser information, referrer, date and time, and interaction data may be collected and transmitted to hCaptcha. Use is based on our legitimate interests in preventing abuse and securing our systems pursuant to Art. 6(1)(f) GDPR. Cookies and Tracking

Our website only uses technically necessary cookies, in particular so-called “session cookies”, which are automatically deleted at the end of your visit. In the context of form security, hCaptcha may set cookies required for functionality. No analytics or marketing cookies are used.

Recipients of Data

Within our company, only those departments that need your data to fulfill contractual and legal obligations have access. External recipients are our hosting provider and, if necessary, processors involved in the event. Data will only be shared with third parties if a legal basis permits this or if you have given your consent.

Data Transfers to Third Countries

When using hCaptcha, personal data may be transferred to recipients in the USA. An adequate level of protection is ensured by appropriate safeguards within the meaning of Art. 44 et seq. GDPR, in particular standard contractual clauses pursuant to Art. 46(2)(c) GDPR.

Storage Period

We process and store personal data only for as long as is necessary for the respective purposes.

Online Presence on Social Media

We maintain online presences on social networks (e.g., Facebook, Instagram) to communicate with active users there and to provide information about our event. User data may also be processed outside the European Union. We have no influence on the data processing by the respective platform operators. The legal basis is our legitimate interest in effective public relations and communication pursuant to Art. 6(1)(f) GDPR. Where users are asked by the platform operators for consent, the legal basis is Art. 6(1)(a) GDPR. Obligation to Provide Data

Providing data during registration is required to participate in the event. Without this data, participation is not possible. There is no obligation for voluntary information.

Your Rights

You have the right to access your stored personal data, to correct inaccurate data, to deletion, to restrict processing, to object to processing based on legitimate interests, and to data portability, each in accordance with legal requirements. Consents given can be withdrawn at any time with effect for the future. You also have the right to lodge a complaint with a supervisory authority.
